QGenda On-Call: What is it?

  • The QGenda On Call web application is where call schedules are created, maintained, and can be viewed by Scheduled Users, Schedule owners, and/ or University of Virginia Health Administrators and Contact Center. 
  • Replaces current manual process of entering schedules into SmartWeb by the Contact Center. 
  • Applies to any area that the Contact Center enters the on-call into SmartWeb.

QGenda On-Call: In practice

  • There is no change to how you page:
    • SmartWeb will still be used – the data is fed from Qgenda On-Call
  • Providers can view On-Call schedules and swap shifts without calling the Contact Center including on mobile devices and computers.
    • Changes flow from Qgenda to SmartWeb in real time

Requesting access to Qgenda

  • New QGenda users have to complete the following:
    1. AMP: Request (virginia.edu)
    2. QGenda Security Request Form - Health Information Technology (virginia.edu)
    3. Workday Learning (Designated schedulers are required to take the QGenda SchedulerTraining)
  • Managers will complete “security request forms” for any staff member who covers “on call” pagers.
  • Staff names in Qgenda need to match the names of staff who are listed w/ the call sheet operator.
  • New staff, any staff with a name due to marriage, and terminations have to be updated in the system by completing the Qgenda Security Request Form or create a HIT ticket.

Creating Your Account on the QGenda Website

  • After your access to QGenda has been granted, create your QGenda Account for the University of Virginia Health On-Call Qgenda page by going to: www.qgenda.com and click on Sign In in the top right corner.

 

  • Create your account with your University of Virginia Health Campus email (ex. cxx035@uvahealth.org) email address. 
    • The @uvahealth.org email is associated with University of Virginia Health On-Call Qgenda page and must be used.

Who can be a designated scheduler?

  • It is recommended that the manager and admin assist +/- delegated staff which should be limited to assure accuracy of coverage information.
  • Limit the number of “schedulers” and “back up schedulers” to a few people (ie) Manager and designee &/or admin assist
  • Providers will include PIC on the Qgenda Security Request Form but non providers will not have PICs

What does Qgenda access provide the designated “scheduler”?

  • Managers and designated schedulers’ will
    • have access to make changes in Qgenda and transcribe pager coverage from W2W to Qgenda which can be done at time of creating the schedule.
    • Make immediate pager coverage changes instead of calling the “on call operator”. Changes in Qgenda pager coverage is “real time” and immediate. (ie) sick call out
  • If the schedulers are not available, then the call sheet operator can be notified to update the pager coverage.
    • Example: Someone calls out sick at 12n and pager has to move to another provider, or flexing someone off and pager has to be covered by another APP
